Fuzzy Matching Module Documentation

Welcome to the Match Data Pro Fuzzy Matching Module guide. This document provides a complete walkthrough of how to configure, run, and export results from a fuzzy matching process.

Step 1: Import Data Sources

  • Import one or more data sources before running a match
  • Order matters: The first imported source defines output column headers
  • Example:
  • First: Master Data
  • Second: Prospect Data

Step 2: Define Relationships

  • Visual match matrix lets you define match relationships:
  • Within: Matches within the same data source
  • Between: Matches between two data sources
  • All: Includes both within and between
  • Supports One-to-One, One-to-Many, and Many-to-Many matching

Step 3: Map Columns

  • System auto-suggests mapping based on column headers
  • Unmapped columns from the second source are appended to the right
  • Merge Column feature:
  • Appends all columns from second source
  • Requires mapping only the match key
  • Save your custom mapping as a reusable template

Step 4: Create Match Definitions & Criteria

  • A definition is a set of match criteria
  • Each definition = OR logic
  • Each criteria inside a definition = AND logic
  • Match Types:
  • Exact Match
  • Fuzzy Match (uses a proprietary multi-algorithm blend)
  • Example:
  • Definition 1: Fuzzy match on company name, exact on email
  • Definition 2: Fuzzy match on company name, exact on city
  • This flexibility ensures partial records still match when some fields are missing.

Step 5: Scoring Options

  • Pair-Based Scoring (default): Score shown is relative to matched pair
  • Group-Based Scoring: Score of each record is relative to first record in group
  • Use the one that best fits your matching review workflow.

Step 6: Grouping Options

Three strategies available:
  • Partial Match Grouping:
  • Records match at least one other record in the group
  • Ideal for exploratory or inclusive matching
  • Complete Match Grouping:
  • Every record must match every other record in the group
  • Best for high-trust matching (e.g., government use)
  • Complete + Bridge (Proprietary):
  • Allows records to belong to more than one group
  • Introduces a Bridge ID column to link related groups

Step 7: Run the Match

  • Start the match process
  • After completion, view the Match Info Report to audit:
  • Matching definitions used
  • Matching criteria and scores

Step 8: Review Match Results

  • Match results include:
  • Group ID (clusters matched records)
  • Data Source of each record
  • Record ID from each source
  • Matched Definition(s)
  • Criteria Scores
  • Aggregate Definition Score
  • Example:
  • Group 88 → Company Name: 90% match
  • Group 87 → Company Name: 92% match + exact city
  • Sorting: Records closest to the fuzzy threshold are at the bottom

Step 9: Export Matched Results

Choose from four export types:
  • Export All Records:
  • Includes matched and unmatched
  • Contains Group ID
  • Export Matches Only:
  • Optionally filter by match score(s)
  • Useful for reviewing low/high confidence matches
  • Export Non-Matches Only:
  • Show only unique/unmatched records
  • Export Deduplicated Set:
  • One record per group (default master) + all unmatched records
Export files can be used in downstream modules (profiling, cleansing) or downloaded

FAQs

After logging in, navigate to your user profile settings where you can:

  • Change your password

  • Update your name and billing information

  • Add a phone number for multi-factor authentication

  • Set your default language

  • Configure your time zone, which is used across all timestamps in the tool

A free/test account allows you to process up to 1,000 records per project. To handle larger datasets, you’ll need to upgrade to a paid subscription.

Match Data Pro offers several UI customization options:

  • Adjust layout, menu style, text direction, and flow

  • Switch between light and dark modes

  • Change interface language

  • Toggle fullscreen mode

  • Receive and view notifications

You can enable notifications to alert you when processes begin or finish. Additionally, there’s a Live Chat feature at the bottom of the screen to connect with support anytime.

From the dashboard, click on the “New Project” button. You’ll be guided through the process of naming your project, selecting modules, and configuring settings.

Payments for subscriptions can be made via PayPal or Stripe (credit card).
